The Opportunity:
We’re looking for an Executive Assistant to join our team and play a critical role in supporting our Executive Team and driving operational excellence across our organization. In this position, you will serve as the backbone of our executive operations, ensuring seamless coordination and execution of key initiatives. From managing complex schedules to creating polished templates and crafting compelling presentations, your work will directly impact our ability to deliver top-notch service to our clients. You’ll thrive in this role if you are proactive, resourceful, and excited to work in a fast-paced, collaborative environment. This is a hybrid position with on-site expectations of at least 2 days per week in our Newtown Square, PA headquarters.
What You’ll Do:
Optimize the Executive Team’s Workflow: Manage calendars, schedule meetings, and oversee travel arrangements to keep things running smoothly.
Coordinate Communications: Prepare correspondence, meeting minutes, announcements, and client communications with clarity and timeliness, ensuring alignment on deliverables.
Deliver High-Impact Projects: Research, draft, and finalize client contracts while designing and maintaining professional templates for presentations, reports, and other client-facing materials.
Support Cross-Functional Initiatives: Collaborate with Operations, Sales, and Systems to complete deliverables while monitoring project timelines and ensuring accountability.
Maintain Organization: Streamline internal systems and processes, keep track of deadlines and deliverables, and manage sensitive client and internal documents with discretion.
Champion Creativity: Design graphics and videos for marketing, announcements, and presentations using tools like Canva, Adobe, or similar platforms to enhance brand presence.
What You’ll Bring:
Experience: 5+ years in a senior administrative role, preferably supporting C-suite executives.
Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential, and familiarity with G-Suite, Adobe, Canva, or HubSpot is a bonus.
Analytical Skills: Expertise in Excel functions like pivot tables, VLOOKUP, and conditional formatting.
Communication: Outstanding verbal and written communication skills to engage with internal teams and external partners effectively.
Organization: Meticulous attention to detail and excellent time management abilities.
Professionalism: A high degree of integrity, discretion, and confidentiality.
